VCSU Articulation Process Checklist
1. Make initial contacts with people at desired institution to determine interest in pursuing agreement. Identify department contact at each institution.
2. Department contacts from each institution map out matrix of course equivalencies. Registrar’s Office has requested to include courses in a table format, with VCSU courses in one column and the other school’s equivalencies in the other column.- Determine course equivalencies between two institutions. As a guide, 100-level courses can be accepted as 200-levels; 200-level courses can be accepted as 300-level. Consider avoiding 100-level courses as 300 or 400 level courses and 200 level courses as 400 level course. Department chair approval is needed for adjustments to this guide.
3. Gain approval from VCSU instructors and Dean for the School of Education for equivalent courses.
4. Draft agreement (using VCSU template).
5. Submit to Registrar for review and approval. The Registrar will share with the following offices:
- Financial Aid
- Technology Services
- Business Office
- Student Academic Services
- Enrollment Services
6. After administrative review return to VCSU department contact. Department contact will review with partnered institution and Dean for the School of Education (for education programs) to finalize.
7. Final agreement submitted to Executive Assistant for VCSU Academic Affairs. Document will be converted for digital signatures from the administers listed below:
- Department Chair
- Dean for the School of Education if an education agreement
- VPAA
- President
8. The Executive Assistant for VCSU Academic Affairs will send agreement to partnered institution to collect digital signatures and finalize agreement.
9. Upon procuring signed final agreement, the Executive Assistant for VCSU Academic Affairs will confirm receipt with partnered institution and provide a digitally signed copy to the following:
- Department Chair
- Dean of School of Education if an education agreement
- VPAA
10. The Executive Assistant for VCSU Academic Affairs uploads agreement to VCSU web page and in the AA Articulation folder.
