Course Substitution Requests
1.) Log into Campus Connection 2.) Click on the VCSU eForms square 3.) Click on Records Office on the left panel 4.) Click on Admin-Course Substitution on the left panel 5.) Type in the student's ID and their Academic Career 6.) Fill in the Substitute/Use section using the information of the course the student took and is looking to use as a substitution for the course they did not take 7.) Select a Requirement Area (the requirement the course is substituting towards) 8.) General Education-Area versus General Education-Major a.) If the general education course being substituted is required for the major, use General Education-Major b.) If the general education course being substituted is NOT required for the major, use General Education-Area 9.) Complete the information for the general education area or program (major, minor, cert) and select the course you would like to use as a substitution General Education-Area Example: Major Example: 10.) Click the Acknowledgement toggle switch so that it says Yes 11.) Click on Office Use Comments and share any relevant comments that may help the Chairs, Deans and VPAA make a decision - this is optional 12.) Click the Submit button Tracking the Status of a Course Substitution Request 1.) Once an advisor submits a course substitution request, they will receive an email with a subject line of SUBMITTED: Admin-Course Substitution as confirmation 2.) A Department Chair, Dean or VPAA will receive an email with a subject line of EFORM ACTION REQUIRED: Admin-Course Substitution when they need to log into Campus Connection to review a request 3.) Once a course substitution request is approved or denied, the advisor will receive an email with a subject line of FINAL DECISION: Admin-Course Substitution

Faculty and Staff Security in Campus Connection
Campus Connection, also known as Campus Solutions, is the online student administration system for the North Dakota University System (NDUS). Faculty and staff are given security access to some, but not all, information based on the type of position held. This access is created by assigning security roles to each employee. For example, faculty are assigned the SR Faculty role which provides access to class rosters, grade rosters, and advisee information. Other positions are assigned different roles based on the type of information needed to carry out the duties of that position. In order to be granted faculty or staff security access in Campus Connection, the university system requires each employee to complete the NDUS Data Privacy Training. Login to Blackboard Click on Courses on the left panel Click on Course Catalog in the top right corner In the Search Catalog text field type, "NDUS Data Privacy" and click Go Click on the downward pointing arrow next the NDUS-Data-Privacy course and click Enroll Enter the Access Code of NDUSDP. This key is case-sensitve and there should be no spaces. Click Submit Click OK After you have completed the NDUS Data Privacy Training quiz, please send an email to leslie.kalmbach@vcsu.edu, shannon.hone@vcsu.edu or erin.heide@vcsu.edu, one of the designed Campus Access Control Officers at VCSU for the next steps.

Viewing Advising and Unofficial Transcripts for Administrators On the Campus Solutions Administrator Homepage, click the Student Records tile. Under Records and Enrollment, click on Request Transcript Report. Click the Add a New Value tab. On the Transcript Request Header tab, select Institution: VCSU1 and select a Transcript Type: ADVIX for the Advising XML Transcript – displays transfer course details and their VCSU equivalencies + VCSU courses OFFIX for the Official XML Transcript – displays transfer course details + VCSU courses UNOFX for the Unofficial XML Transcript – displays transfer course details + VCSU courses UNSNX for the Unofficial w/Transfer Summary – student view – displays transfer course details + VCSU courses UNSSX for the Unofficial w/Transfer Details – student view – displays transfer course details and their VCSU equivalencies + VCSU courses On the Transcript Request Detail tab, enter the ID then select the Process Request button. Enrollment and Completion Trends
In Teams under VCSU Employees, the Registrar’s Office has a channel with completion and enrollment trend files. Completion Trends AY Major Completion Trends - This document provides the number of majors completed as part of a degree (not individual degrees completed or unduplicated graduates) during an academic year as reported to IPEDS and in the NDUS Programs Offered and Completed report. The summer term is the lead, not the trailer, of the academic year for completions. For example, Summer 2018, Fall 2018, and Spring 2019 are reported in academic year 2019. AY Minor Completion Trends - This document provides the number of minors completed as part of a degree during an academic year. Credit Hour Production Credit Hour Production by Department (Division) - There is one document with a worksheet for each academic year with the credits generated by each department. The FTE Production calculation is found at the bottom of each worksheet. Credit Hour Production by Subject (Prefix) - There is one document with a worksheet for each academic year with the credits generated by each subject. There are also separate documents for fall, spring, and summer history. You can calculate FTE for a subject by dividing the credit hour production. The divisor for undergraduate FTE is 15. The divisor for graduate FTE is 12. Enrollment Summaries VCSU Fall Enrollment History - This document provides a worksheet for fall headcount history, AY headcount history, AY full-time headcount and AY full-time equivalent (FTE). VCSU Fall Residence of First Time Freshman VCSU Fall Residence of Total Enrollment VCSU Fall Enrollment by Race VCSU Fall Enrollment Statistics Summary VCSU Fall Major and Minor Enrollment Trends - This document provides the number of declared majors and minors as of the official fall census date.

Access Request for Campus Solutions
If an employee of Valley City State University would like to request access to Campus Solutions they must submit an Access Request for Campus Solutions form, which is attached below. Once the form is completed, they may submit the request to VCSU's Office of the Registrar via email, fax or mail. Course Override Process
1.) Student will log into Campus Connection 2.) Student will click on the VCSU eForms square 3.) Student will click on Records Office on the left panel and click on Registration Action 4.) Student will select the Term they are trying to enroll in and their Academic Career 5.) Student will answer the "Do you currently have a hold applied on your account?" question 6.) Student will select a Registration Action (the reason they need an override to get into a course) 7.) Depending on the Registration Action that is selected, the request will go through the following approval routes: a.) Audit Student à Instructor (selected by student) à Department Chair/Dean (selected by Instructor) à Registrar’s Office b.) Closed Course Student à Instructor (selected by student) à Department Chair/Dean (selected by instructor) à Registrar’s Office c.) Minimum 12 Credits for Athlete Student à Advisor (selected by student) à Head Athletic Coach (selected by Advisor) à Registrar’s Office d.) Requisite Note Met Student à Advisor (selected by student) à Instructor and Department Chair/Dean (selected by Advisor) à Registrar’s Office e.) Summer Unit Load Student à Advisor (selected by student) à Registrar’s Office f.) Time Conflict Student à Instructor (selected by student) à Registrar’s Office ** Please note with a time conflict override, the information of the course the student CANNOT enroll in goes in the Course Information section and the information of the course they are enrolled in that is causing the time conflict goes in the Secondary Course Information section. ** g.) Student will click the Submit button 10.) Once the student submits the form, the Advisor, Instructor or Department Chair/Dean will receive the email below. Please note, if you have multiple roles (for example, if you are student's advisor and you are the instructor of the course) you will need to evaluate the form once as the advisor and a second time as the instructor). 11.) Below is the email a student will receive if you Approve their course override request. 12.) Below is the email a student will receive if you Recycle their course override request back to them because you would like more information about why they are requesting the override. Please note, if you make comments on the form, they will be visible to the student. Recycling a request sends it back to the student so that they can make edits or provide more information in the Comments before they resubmit the form, whereas Denying a request does not allow for edits. 13.) Below is the email a student will receive if you Deny their course override request. Please note, if you make comments on the form, they will be visible to the student.
